at all meets in Potomac Valley are to be entered in the USA Swimming Officials Tracking
System (OTS). This page explains the duties and responsibilities
of the Meet Referee and/or
Club Officials Chair in entering their meet into the OTS
Both the Meet Referee and the Host Club Officials Chair will have access to entering their meet's officials participation in the OTS. It is up to the two of you to decide how it is going to be done. The PVS Officials Committee is requesting that you complete the task no later than seven days after completion of the meet.
To use the OTS, go to the Officials Tracking->Meets and Evaluations page. You will have to log in first. You can then search by LSC for PVS meets and your meet should be near the top of the list. Click the "Edit" button to get access to the meet for adding the officials. The meet should be set up in the OTS at least one week before the meet. If you can't find it in the system, please contact Tim Husson.
You can even enter the names of officials in the OTS for the meet before the meet occurs and then go back and update the sessions/jobs worked after the meet.
When searching for officials to add to your roster in the OTS, it is best to search only on last name. The first name you have from your Officials Sign-In Sheet may be a nickname or not be the same as the official's name in the OTS.
If you can't find an official's name in the system, it may be beacuse:
- The S&T trainee may not yet be registered with USA Swimming
- The Hy-Tek and ETS Operators are not required to register
with USA Swimming
- The name was misspelled on the sign-in sheet
You can contact Tim Husson if you have any problems finding a name.
Whe you enter the sessions worked, make sure you use the proper codes. There are codes for trainees (apprentices), as seen in the list below:

If an official worked more than one position during a session, they can only receive credit for one session. Select the position they worked the most, or select one of the positions they worked.
After you complete the process, you can create and save a report of your meet.
