Eligibility:

Open to all Potomac Valley Swimming registered athletes.

 Meet Directors reserve the right to limit entries in events 7 & 8 (1000 yd Freestyle) should demand for these events exceed pool rental time.  Entries will be processed in the order in which they are received. 

Inclusion Policy for Swimmers with a Disability:

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD. Athletes with a disability are welcomed and are asked to provide advance notice of desired accommodations to the Meet Director. The athlete (or the athlete’s coach) is also responsible for notifying the session referee of any disability prior to the competition.

Warnings:

Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 and no further entries will be accepted from that club until the said fine has been paid.

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Rules:

Current USA Swimming rules shall govern the meet. All events are timed finals. A contestant may enter no more than FIVE events per day or ELEVEN events during the meet.
SEED TIMES ARE SHORT COURSE YARDS.  In the event that short course yards times are unavailable, coaches' times are preferred over no times for all events except events 7 and 8 (see below).

Minimum provable time to enter the 1000 yard freestyle is 15:00.00.  Athletes wishing to enter the 1000 Freestyle who do not have a provable 1000Y/800M free time under 15:00.00, must have a provable 400M/500Y time of 7:20.00 or faster.  These athletes will be entered into the 1000Y freestyle with their 400M/500Y time and will be seeded after all 1000Y/800M times have been seeded.  Please mark swimmers entering with 500Y/400M times as "exhibition".  Swimmers with 400M or 800M times will be converted to 500Y and 1000Y times, respectively, for seeding.  Swimmers with 1650Y or 1500M times (but not 1000Y or 800M times) should enter with their 1000Y or 800M intermediate times and indicate meet where it was swum so the time can be verified.  All swimmers will be eligible for awards.

 Coaches who have swimmers who they believe can complete the events 7 & 8 (1000 yd Freestyle) faster than 15:00.00, but who have not satisfy the entry rule, may petition the PVS Distance Coordinator, Bill Marlin, for an exception.  The petition should provide specific evidence why they believe the swimmer can complete the event within 15:00.00.  All petitions must be submitted prior to the entry deadline. 

Events 5-6, 9-12 year old 500 Freestyle, will be swum fast to slow alternating women and men. It will then be followed by Events 7-8, 13&over 1000 Freestyle, which will also be swum fast to slow alternating women and men. 

Dive-over starts may be used at this meet at the discretion of the Meet Manager and/or Meet Referee. Coaches are requested to review Guidance for Dive-Over Starts for Coaches. Officials are requested to review Protocol for Dive-Over Starts.   A determination whether to do so will be made shortly after entries for this meet have been processed.

 NO on-deck USA-S registrations will be permitted.

Positive Check In:

All events 200 Yards or longer will be deck seeded. The Meet Director will determine if positive check-in will be required for any events of 100 Yards or shorter. Athletes who check in to a deck-seeded event, have been seeded, and fail to swim the event will be barred from their next scheduled individual event, unless excused by the Referee before the event takes place.

Warm-up:

The prescribed Potomac Valley Swimming warm-up procedures and safety policies will be followed. The Meet Director may determine the structure of the warm-up, including times and lane assignments.

Officials:  Each participating club is requested to provide at least one table worker or official (referee, starter or stroke and turn judge) per session if entering 25 or more splashes. Certified officials wishing to volunteer to work this meet should contact the appropriate club officials chairman shown above prior to October 12.  Please include your club affiliation, certifications held and sessions you wish to work. Officials volunteering should sign in at the recording table prior to the start of Warm-ups. Certified officials who have not previously advised of their availability may volunteer their services to the Referee at this time.

Timers:

Participating clubs are required to provide timers in proportion to their entries. A timer is required for each 25 entries.  The number of timers required will be adjusted when club is providing other officials. Acceptance of the club entry is based upon compliance with the above. Host clubs are required to provide one timer per lane.

Supervision:

Coaches are responsible for the conduct of their swimmers and for cleaning up their team areas.

Admission Programs:

There is no admission charge. Programs for each session will be available for $2.00 each. (Friday evening session will be $1.00) Working officials and coaches receive a free program.

Awards:

Ribbons will be provided to top 8 swimmers in 9-10, 11-12 and 9-12 year old events.

Fees:

Fees for individual events are $3.50.

Meet Entry Procedures:

General Instructions:

  • Entries should be submitted using Hy-Tek Team Manager via e-mail. Events for this meet can be downloaded at 09-07-events-1.zip . Include in the e-mail subject heading "2008 PVS October Open - ****" with the club's initials substituted in place of the asterisks.   Also include training site if your club submits multiple entries and number of timers being committed. 
  • Two Team Manager meet entry reports (saved in Word) must also be sent:  (1) by swimmer and (2) by event.
  • In body of e-mail give total number of splashes (men, women, total entry) and contact information (name, phone, e-mail address)
  • Meet Directors are requested to acknowledge receipt by return e-mail within 24 hours. Clubs submitting entries that do NOT receive an acknowledgement should contact the Meet Director by other than e-mail to confirm receipt.
  • Each club is requested to remit one check via USPS to cover the entry fees for the entire team. Please put the club name on the entry check (if not a club check) and note the number of entries. Please do not send cash. Meet directors have been instructed not to accept telephone or fax entries.
    • Entries not submitted on the required forms, not complete, not legible or not in the required electronic format, will not be accepted and will be returned. The Meet Director will not be held responsible if there is no time to properly resubmit the entry.
    • Individual or unattached entries will only be accepted by manual entry sent to the address listed below.
Manual Entries:
  • Manual entries must be submitted on the PVS master entry sheet.  Also submit a completed "entry cover sheet".  Signature and phone number of a club official must be included with entry for validation of entries.
  • There will be a $1.00 surcharge per athlete for manual entries of 10 or more.

Late/Deck Entries:

Late (deck) entries are $10.00 per individual event and must be submitted no later than 45 minutes prior to the first event of each session. Swimmers will first be entered into open lanes in existing heats on a first come, first served basis. In the event of a significantly over subscribed session, the Meet Director reserves the right to not accept deck entries.   Evidence of current USA-S registration will be required for deck entries.  This can be done by presenting a copy of your USA-S athlete registration card.

5:00 p.m., Tuesday, October 7, 2008

Important: The above date is the deadline for clubs to submit their entries to the Meet Director. Therefore, clubs usually set an earlier deadline to receive entries from their swimmers. Check with your club for this information.

Entry fees are due with each club's meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet. No further entries will be accepted from clubs for future meets until all entry fees are paid in full by the club to the meet director.
