Eligibility:

Open to all USA Swimming registered athletes. Athletes shall compete at the age attained on the first day of the meet.

Warnings:

Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 and no further entries will be accepted from that club until the said fine has been paid.

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Rules:

Current USA Swimming rules shall govern the meet. All events are times finals. A contestant may enter no more that four (4) individual events per day.

Inclusion Policy for Swimmers with a Disability:

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD. Athletes with a disability are welcomed and are asked to provide advance notice of desired accommodations to the Meet Director. The athlete (or the athlete’s coach) is also responsible for notifying the session referee of any disability prior to the competition.

Warm-Up:

The prescribed Potomac Valley Swimming Warm-up procedures and safety policies will be followed. The Meet Director may determine the structure of the warm-up, including times and lane assignments

Supervision

Coaches are responsible for the conduct of their swimmers and families. Team areas are to be cleaned after each session. PLEASE RECYCLE!
ONLY CERTIFIED COACHES, DECK OFFICIALS, VOLUNTEER TIMERS, AND WORKING VOLUNTEERS ARE PERMITTED ON THE POOL DECK DURING COMPETITION. BLEACHERS ARE PROVIDED FOR SPECTATORS TO VIEW

Admission:

There is no admission charge. Programs for each session will be available for $3.00. Working officials and coaches receive a free session program. All PVS/USA Swimming registered coaches and deck officials are required to wear current USA Swimming membership credentials on the deck area. The Referee will ask anyone not displaying proper credentials to leave the deck area.

Fees:

Fees for individual events are $5.00, relays are $10.00. Each Club is requested to remit one check to cover the entry fees for the entire team. All meet fees are due with the meet entries.

Officials:

Officials assigned to this meet should sign in at the recording table at the start of the warm-up. Certified officials who have not been contacted should volunteer.

Timers:

Participating clubs are required to provide timers in proportion to their entries. The Meet Director will determine the number of timers per club and lane assignments. The host club is required to provide one timer per lane.

Awards:

INDIVIDUAL EVENTS: Medals will be awarded for first through eighth place, Ribbons will be awarded to all other swimmers who complete their event and swim legally (are not DQed.)
Participation ribbons will be given all swimmers.

RELAY EVENTS: Medals will be awarded for first through eighth place.

ATTENTION COACHES AND SWIMMERS: Team trophies will be awarded the top three scoring teams at the conclusion of the meet.

Entries:

  • The following is REQUIRED if you are submitting your entries by Computer disk (HY-TEK) or E-mail:


  • Commlink II files should include include both individual entries and relay teams.
  • **A Meet Entry Report by swimmer and Meet Entry Report by event from the Team Manager Program and saved in the "word" format. **
  • A completed "Meet Entry Cover Sheet" can be downloaded as a word doc
  • A phone number and e-mail address (if available) at which a club point of contact will be readily accessible must be included with the entry for validation of entries.
  • Teams submitting their entries electronically shall submit their meet fees and their pink/blue PVS entry cards by mail at the same time.

  • Optional: Before preparing your entries, events for this meet can be downloaded and then imported into team manager. The file IS NOW available zipped "34mm031106.zip" or may requested directly from the Meet Director

  • Meet Directors are requested to acknowledge receipt by return e-mail within 24 hours. Clubs submitting entries that do NOT receive an acknowledgement should contact the Meet Director by other than e-mail to confirm receipt.

  • All relays teams must submit their pink/blue PVS entry cards submitted with their team entry.
  • Entries may alternatively be submitted manually on a PVS Master Entry Sheet. If doing so, include relay entries.
  • Any entries sent by Fed Ex or Express Mail, must have the "signature release" form signed

Reminder:

Any team that enters more than 10 swimmers and does not use Hy-Tek, will incur a surcharge of $1.00 per swimmer.

Deadline:

The Meet Director must receive all entries for this meet no later than 5:00 PM,

Important: The above date is the deadline for clubs to submit their entries to the Meet Director. Therefore, clubs usually set an earlier deadline to receive entries from their swimmers. Check with your club for this information.

Checks:

Checks should be made payable to: MCRD (Montgomery County Recreation Dept.).    Do not send CASH. Please note your club name on the check.
