Note: Meet Director in consultation with the Age Group Chairman will determine if session start times or check-in times for 10/Under sessions will need to be adjusted based on number of entries received for 11/Over preliminary sessions. They will also make any other needed adjustments if entries received are materially different than anticipated.

Eligibility:

Open to all registered Potomac Valley Swimming athletes. A contestant may participate in only his or her own age group.

Inclusion Policy for Swimmers with a Disability

PVS and host clubs along with their Meet Directors are committed to the Inclusion Policy as adopted by the BOD . Athletes with a disability are welcomed and are asked to provide advance notice of desired accommodations to the Meet Director and PVS Age Group Chairman (Greg York at gjyork@comcast.net). The athlete (or the athlete’s coach) is also responsible for notifying the session referee of any disability prior to the competition.

Qualifying Times

Contestants must have equaled or bettered the applicable no slower than (NST) LCM times listed or the 2004 "AAA" or better short course times. Qualifying times must have been achieved subsequent to July 13, 2002. Short course entry times are non-conforming times and will be seeded after long course entry times.

Warnings:

Any club that enters an unregistered or improperly registered athlete, falsifies an entry in any way, or permits an unregistered coach to represent them, will be fined the sum of $100.00 and no further entries will be accepted from that club until the said fine has been paid.

All entry times and USA Swimming memberships are subject to verification. Any athlete not achieving a QT, may be asked to prove the entry time to the Meet Director prior to the end of the meet.

Entry fees are due with meet entry. Unpaid fees will be reported to the PVS Administrative Office at the conclusion of the meet.

Rules:

Current USA Swimming rules shall govern the meet. All events are timed finals. A contestant may enter no more than three events per day or six for the meet. Positive check-in is required for all individual and relay events 400 meters and longer These events will be seeded on the deck. Swimmers and relay teams not checked-in will be scratched from that event. Athletes who have checked in, been seeded, and fail to swim the event will be barred from their next scheduled individual event.

No late entries are permitted for this meet.

Individual Events:

All individual events 200 meters and shorter are trials and finals. All relays and individual events 400 meters and longer are timed finals events. For all prelim/final events there will be 1 final heat for 10 & Under events. For all prelim/final 11-12 and 13-14 events , there will be 2 final heats, swum fastest to slowest.

A contestant may compete in a maximum of six (6) individual events, and compete in no more than three (3) individual events per day.

Timed finals for:
10/U 11-12 400 Freestyle
14/U 800 & 1500 Freestyle

The 10 & Under Freestyle 400 Freestyle, and 14 & Under 800 and 1500 Freestyle events will be swum fastest to slowest. The 14 & Under 800 and 1500 Freestyle will alternate women and men. The fastest heat of the Women's and Men's 800 Frestyle will be swum as the first event of the evening program on Thursday. The 13-14 400 Freestyle may have up to the two fastest heats swum in finals. A determination will be based once the timeline for Friday's preliminary session is known.

Positive check-in is required. Verification of time must be submitted with entry.

Swimmers in the 800 and 1500 Freetyle events are responsible for providing their own timer, except for those in the fastest heat being swum as part of Thursdays finals.

Relays:

All 200 and 400 meter relays are timed finals and will be swum in preliminary sessions. Tthe 13-14 800 Freestyle Relays will be swum as the last event on Suniday evening, and will be swum fast to slow..

There is no limit on the number of entries per club, but only two relay teams per club per relay event may score.

Withdrawing from Finals:

PVS scratch rules apply for swimmers scratching finals. If a swimmer fails to properly scratch from a final event and does not appear for the final, he/she "will be barred from further competition for the remainder of the meet".

Awards:

Medals will be awarded 1st through 8th place for individual events and 1st through 3rd place for relay events. High point awards will be presented to the male and female athlete with the highest point total in individual events in the following age groups: 10 & Under, 11-12 & 13-14 based on the swimmer's age on the first day of the meet. A swimmer ""swimming-up" will receive points actually awarded in the events they swim. Relay events will NOT be used to determine high point awards.)

Officials:

All certified officials wishing to volunteer to work this meet please contact the PM Officials Chairman, James VanErden at 703-239-2963 or email jim.vanerden@goodwill.org prior to July 18. Please include your club affiliation, certifications held, and sessions you wish to work. Officials volunteering should sign in at the recording table prior to the start of Warm-ups. Certified officials who have not previously advised of their availability may volunteer their services to the Referee at this time.

Timers:

Participating clubs are required to provide timers in proportion to their entries. The meet director will determine the number of timers per club and lane assignments. The host club is required to provide one timer per lane.

Supervision:

Coaches are responsible for the conduct of their swimmers and for cleaning up their team areas.

Credentials:

Parents not working the meet as a deck official, volunteer lane timer, or other meet position are not permitted on deck. Only athletes, USA Swimming certified coaches, and deck officials are permitted on the pool deck. Coaches and deck officials are required to display their current USA Swimming card.

Admission Programs:

There is no admission charge. The meet program will be available for $10.00 and will include a finals program coupon for each finals session. Working Officials will receive a daily program free.

Fees:

Fees for individual events are $5.00; relay events are $10.00.

Meet Entry Procedures:

General Instructions:

  • Entires may be submitted (1) manually, (2) by sending a disk to the meet director or (3) via e-mail.
  • Follow the instructions under the appropriate heding below. The immediately following rules apply regardless of method chosen.
    • Each club is requested to remit one check to cover the entry fees for the entire team. Please put the club name on the entry check (if not a club check) and note the number of entries. Please do not send cash. Meet directors have been instructed not to accept telephone or fax entries.
    • Entries not submitted on the required forms, not complete, not legible or not in the required electronic format, will not be accepted and will be returned. The Meet Director will not be held responsible if there is no time to properly resubmit the entry.
    • Individual or unattached entries will only be accepted by manual entry sent to the address listed below or by e-mail containing all the particulars required by the master entry sheet.
Manual Entries:
  • Manual entries must be submitted on the PVS master entry sheet. Also submit a completed "entry cover sheet". Signature and phone number of a club official must be included with entry for validation of entries. Short course entry times must be designated with a capital letter "Y".
  • There will be a $1.00 surcharge per athlete for manual entries of 10 or more.

  • Club E-mail entries will be accepted provided the transmission time is prior to entry deadline.
  • Attach one report by event, one by name (save as Word for Windows in Team Manager)
  • Attach commlink file
  • In body of e-mail give total number of splashes including relays (men, women, total entry) and contact information (name, phone, e-mail address)
  • Remember to also send entry fee check via USPS
  • Clubs submitting by email should submit entries to btmarlin@erols.com, in the subject heading type, "2004 PVS Long Course Age Group Champs - ****" with the club's initials substituted in place of the asterisks.
